Purpose of the Role:

The Event Support Volunteer will provide essential support to ensure the successful execution of the Volunteering Waikato Annual Awards event, which will take place on June 20th from 6 PM - 9 PM. This role involves assisting with event set-up, managing guest registration, and providing on-the-day support during the awards ceremony.

Requirements:

Event Set-up:

  • Assist with setting up event venue, including arranging tables, chairs, and decorations as directed by the event coordinator(s).
  • Help with signage placement and ensure all necessary materials are readily accessible.

Guest Registration:

  • Greet guests upon arrival and check their names off the guest list.
  • Provide attendees with event materials, such as programs or name tags.
  • Direct guests to designated seating areas and answer any questions they may have.

Event Assistance:

  • Assist event staff with various tasks throughout the awards ceremony, such as distributing awards, managing stage props, or providing logistical support.
  • Help ensure the smooth flow of the event by monitoring guest movement and addressing any issues or concerns that arise.

Post-Event Clean-up:

  • Assist with post-event clean-up activities, including clearing tables, removing decorations, and tidying event spaces.
  • Help ensure that the venue is left in a clean and orderly condition.

Skills and Qualifications:

  • Friendly and approachable demeanor with excellent communication skills.
  • Ability to work effectively in a fast-paced environment and remain calm under pressure.
  • Strong organizational skills and attention to detail.
  • Reliable and punctual with a commitment to fulfilling assigned duties.
  • Willingness to take direction from event coordinators and work collaboratively with other volunteers and VW staff members.

A Ministry of Justice background check is required for this role.

Time commitment:

The Awards Event Support Volunteer role requires availability on June 20th at 4 PM - 10 PM (can be available within that time frame, rather than entirety - shifts available).

Additional time may be required for pre-event preparation and post-event clean-up.
