The Treasury is a research centre and archive that collects, preserves and promotes heritage material from the Coromandel/Hauraki regions. The Treasury is operated by The Coromandel Heritage Trust and is based in the former Carnegie Free Library building in Thames, with an adjoining state of the art Archive that was built in 2014. The Treasury is presently led by a skilled group of trustees.

The main tasks of the Secretary position will include:

  • Preparing board meeting agendas in consultation with the Chair
  • Collating and distributing meeting agendas, committee reports and correspondence to board members prior to meetings
  • Taking minutes for The Coromandel Heritage Trust’s monthly board meetings
  • Receiving and sending board correspondence
  • Managing record keeping
  • Call for and receive nominations for officers and annual reports for the Trust’s AGM
  • Collate and arrange for the printing of the annual report
  • Maintain register of board members
  • Maintain files of legal documents
Requirements:

Ideally the Secretary is someone who:

  • Communicates effectively.
  • Has previous secretary or administration experience.
  • Competent in MS Office, Google Drive and electronic filing systems.
  • Can maintain confidentiality on sensitive matters.
  • Has a high degree of accuracy in writing and communications.
  • Acts with integrity at all times.
Time commitment:
  • 2–4 hours per week
  • Includes one monthly Board meeting (in-person or online)
