Volunteer Event Coordinator - Hamilton

The Refugee Orientation Centre (ROC) Trust is seeking enthusiastic volunteers to help coordinate our Youth Event taking place on 12th December. This is a fantastic opportunity to gain hands on event management experience while making a positive impact in the former refugee community.

Areas Where You Can Contribute:

(1) Programme & Coordination: Help execute the event agenda and sequence, prepare scripts for program hosts, coordinate youth performances and video-editing, and create volunteer job schedules.

(2) Operations & Logistics: Coordinate venue layout and décor, arrange stage setup, catering, and audio-video equipment, and prepare certificates and awards for youth participants.

(3) Communication & Resources: Design and send invitations, coordinate post-event activities, manage RSVPs and event publicity through social media, and assist with event budget coordination.

Whether you are passionate about event coordination, content writing, video/photo editing, graphic design, or simply want to gain experience while giving back to young people in our community, we'd love to have you on board!

Requirements:
  • Enthusiasm and commitment to supporting refugee youth
  • Interest or skills in event coordination, content creation, graphic design, or communications (experience welcome but not required)
  • Ability to work collaboratively with a diverse team
  • Available for planning meetings and event preparation (November-December 2025)
  • Able to attend the Youth Event in December 2025
  • Reliable and organized approach to commitments

A Police background check is required for this role.

Time commitment:
  • Flexible hours from November through to 12th December, leading up to and including the Youth Event.
  • Commitment varies by role, from a few hours per week for planning to full day involvement on event day.
  • More intensive time commitment expected in the weeks immediately before the event.
