Neighbourhood Support Hamilton is seeking a volunteer Secretary to join our committee — a great micro-volunteering role that fits around your schedule. In this role, you will play a key part in supporting the smooth functioning of our meetings and records. Responsibilities include:

  • Preparing and sending meeting agendas
  • Taking and distributing minutes
  • Maintaining key registers (such as the conflict of interest and incident registers)
  • Handling other light administrative tasks as required
  • Committee meetings are held monthly.

You won’t be on the frontline of safety work, but your organisational skills and attention to detail will be vital in helping our group stay effective. By supporting these important tasks, you’ll help us focus on building a safer, more connected community.

Requirements:
  • Strong organisational skills — you’re comfortable managing agendas, minutes, and registers accurately and on time
  • Good written communication — you write clear and concise minutes and emails
  • Great attention to detail — you make sure records like incident and conflict registers are up-to-date and accurate
  • Respect for confidentiality — you handle sensitive information with discretion and professionalism
  • Reliability and punctuality — you’re committed to attending monthly meetings and following through on tasks
  • Basic computer skills — you’re comfortable using email, Microsoft 365, word processing tools (like Microsoft Word), and keeping digital records
  • A team-player attitude — you work well with others and help create a positive, respectful environment

A Police background check is required for this role.

Time commitment:
  • Around 5 hours per month
  • We hold monthly committee meetings, usually in the evening on the first Monday of the month
  • There may be the occasional event or extra meeting, but nothing too heavy
