Volunteer Event Planner – Waikato-Wide Community Sewing Bee
We’re looking for a motivated, creative Volunteer Event Planner to help bring a unique, sustainability-focused event to life — a Waikato-wide Community Sewing Bee.

Your mission? To help coordinate a large-scale event where community groups across the region come together to sew reusable produce bags from repurposed fabric collected from Fieldays and other events. The handmade bags will be donated to Waikato schools to support their fundraising efforts — a win for people, planet, and community spirit.

You’ll play a key part in organising the moving pieces: booking venues, connecting with volunteers and sewing groups, helping gather materials, and supporting logistics and promotion.

This is a great opportunity for someone who loves organising, enjoys working with people, and cares about sustainability and creativity.

We’re even exploring a Guinness World Record attempt — so there's plenty of room for fun and imagination!

As a volunteer event coordinator here are the tasks you'll be doing:

  • Coordinate and book community venues across the Waikato
  • Liaise with volunteers, sewing groups, and local organisations
  • Help gather sewing machines and repurposed materials
  • Support event promotion (with guidance from our team)
  • Assist with event-day planning and logistics
  • Help coordinate post-event bag distribution to schools
Requirements:

You’d be the perfect fit if you have:

  • Good organisational and communication skills
  • A positive, people-focused attitude
  • Interest in sustainability, community events, or creativity
  • Experience in event planning, coordination, or logistics
  • Bonus: Familiarity with sewing, crafting, or creative events
  • No sewing experience required — just willingness and heart!
Time commitment:
  • Flexible and remote-friendly — work when it suits you
  • Approx. 2–5 hours per week (depending on your availability)
  • Most tasks can be completed in your own time, with occasional check-ins
  • The event date is still being finalised — 5 September (International Day of Charity) is one possibility
  • All tasks should be completed before the confirmed event date
