Responsibilities and Duties: The Secretary is responsible for the following tasks:

  • Agenda Preparation: Collaborate with the Chairperson to prepare the agenda for organizational meetings.
  • Meeting Arrangements: Organize all logistical aspects of meetings, including selecting the venue, setting the date and time, and arranging hospitality.
  • Meeting Notices: Ensure timely distribution of meeting notices to all relevant parties.
  • Report Collection: Gather and compile reports from office bearers prior to meetings.
  • Nominations Management: Solicit and receive nominations for committees and other positions in preparation for the Annual General Meeting (AGM).
  • Minute Taking: Accurately record minutes during meetings.
  • Minute Distribution: Draft and circulate the meeting minutes promptly following each session.
  • Correspondence Handling: Read, respond to, and file incoming and outgoing correspondence in a timely manner.
  • Annual Report: Coordinate the compilation and printing of the annual report.
  • Member & Sponsor Records: Maintain accurate registers of members' names, addresses, life members, and sponsors.
  • Document Management: Maintain and organize important legal documents, including constitutions, leases, and property titles.
  • Public Officer Duties: Serve as the public officer for the organization, acting as a liaison between the organization, the public, affiliated bodies, and government agencies.
  • Committee Directives: Carry out additional duties as directed by the committee.

The ideal candidate for the Secretary role should possess the following attributes:

  • Effective Communication: The ability to communicate clearly and professionally, both in writing and verbally.
  • Organizational Skills: Highly organized, with the capability to manage multiple tasks and delegate responsibilities effectively.
  • Discretion and Confidentiality: A strong sense of confidentiality, maintaining privacy on sensitive matters when required.
  • Knowledge of Governance: A solid understanding of the organization's constitution and its provisions, ensuring compliance and adherence to its principles.
Time commitment:

Estimated Time Commitment & Period of Appointment:

  • The time commitment required for the Secretary role is approximately 1-2 hours per week.
  • The Secretary is appointed for a term of one year, or until the next Annual General Meeting (AGM), usually held in May.
