The Victoria Battery Tramway Society is refreshing its volunteer team to secure its position as a premier visitor destination. We’re seeking an Administrator to strengthen our processes and support the Chairperson and volunteer team. This vital role ensures the smooth running of our operations.

Key Responsibilities:

Office Support:

  • Answering incoming calls and taking messages.
  • Managing email correspondence.
  • Taking meeting minutes.
  • Maintaining diaries for volunteers, tours, and events.

Data and Document Management:

  • Data entry, including sales figures, maintenance logs, and attendance sheets.
  • Creating and maintaining spreadsheets and presentations.
  • Filing and general record keeping.

General Office Management:

  • Coordinating office operations to ensure efficiency.
  • Receiving and directing visitors.
  • This role is perfect for someone who enjoys working behind the scenes to make a big impact!
Requirements:

Ideal Candidate Skills and Experience:

  • Strong time management skills with an organized and methodical approach to tasks.
  • Excellent communication skills and the ability to collaborate effectively in a small team of like-minded volunteers.
  • Proficiency in Office 365, including: Spreadsheet design and data input.
  • Experience in webpage and Facebook monitoring, with the ability to update and manage content (preferred).
  • Familiarity with photographic scanning and Optical Character Recognition (OCR) technology (advantageous).

A Police background check is required for this role.

Time commitment:
  • Open hours: Saturdays and Sundays, 10:00 AM – 3:00 PM.
  • Additional operations during school holidays and for special or pre-arranged tours.
  • Flexible working hours to fit your schedule.
  • Opportunity to complete some tasks remotely from home.
